SDTC Temporary Closure

Dear Member,

Further to our previous messages about the closure of the South Devon Tennis Centre, we are writing to update you on the actions being taken as a result of the Coronavirus pandemic.
Our first priority is the health and safety of our members and staff and accordingly the centre will remain closed until the situation improves and regulations permit.

Our next priority is to take all possible steps to protect the long term viability of the Centre to enable the centre to reopen when the pandemic is over. Key actions taken are as follows:
• All staff employed at the centre have been furloughed under the government's Job Retention Scheme. This enables them to remain "employed" and be available to return to work in due course whilst very substantially mitigating the employment costs. However under the scheme they are not permitted to carry out duties for the club. They are unable to deal with email or telephone enquiries.
• We have cancelled all possible supplier services, reduced utility payments and negotiated standstills or reductions to long term contracted services.
• We are investigating what options may be open in respect of the loan on which repayments will be due. The LTA have already announced that loan repayments due in the next six months have been suspended so that relieves us of the July payment.

Where members have an entitlement to undelivered coaching sessions, these will be carried forward to when the centre reopens and a 10% credit applied to the sessions. We hope this is acceptable proposal to members.

As you are aware, the club is not in a strong financial situation, and despite the measures outlined above, there will continue to be a cash drain on the clubs resources. With careful management as detailed above, the club should be able to survive quite a few months and be able to reopen for business as usual.

Subscriptions and Direct Debits

However we have received a few enquiries about subscriptions and inclusive supplements paid for 2020. The basic facts are that if the club was to refund these payments, the prospects of ever reopening would be very substantially reduced. In the short term, a decision has been made that refunds would not be in the long term interests of the members and thus no refunds can be made. When the club reopens, the directors will consider the financial situation and consider what measures may be appropriate (if any) in respect of the non playing period. However until the duration and commercial impact of temporary closure is known, it is not possible to speculate on what such measures might be. The directors will keep this situation under review and keep the members updated on any changes.
All members of the club are equally committed to the club according to the Rules, whether they have paid fully in advance or are paying monthly. Therefore the directors have a special request to those members paying monthly - Please do not cancel your monthly payments out of respect for those who have paid in advance and to contribute to the future potential club viability.

With no staff to deal with enquiries, it falls to the directors to voluntarily deal with all issues relating to maintaining the Club.
If you have an essential need to contact the club, please do so by email to secretary@sdtennis.co.uk. Matters will be dealt with but it might take some time.

We wish all the Club's members well during these difficult times and hope that you and your families are taking your daily exercise and keeping safe and healthy.

Best wishes
Andy Copestick
Chairman.
